More orders from every account, none of them typed in.
Stockists reminded before they run out. Accounts that have gone quiet, noticed. And every purchase order read from email, PDF or phone photo and entered for you, so the order desk you have can handle far more accounts.
Built for
- Wholesalers and distributors
- Food and beverage suppliers
- Small manufacturers
- Brands selling to retailers
Every order starts with someone typing.
Reorders nobody prompts
Customers reorder when they notice they are low, or when a competitor's rep calls first. Nobody on your side has time to watch every account's ordering pattern.
Purchase orders keyed by hand
Customers send orders as emails, PDFs, spreadsheets and photos of handwritten sheets. Someone reads each one, finds the products and types the order into your system.
Product names nobody recognises
Customers use old codes, their own names and misspellings. Matching them to the right item takes experience, and mistakes become wrong shipments.
Supplier invoices against POs
Prices, quantities and freight on every supplier invoice should be checked against the PO and what actually arrived. It is slow, so it gets skipped.
What we take on first.
Five jobs that pay back fastest for most distributors: two that grow your accounts, and three that let the order desk handle more. The Audit tells you which comes first for you.
Reorder prompts
Each account's ordering rhythm learned from its history. When a regular order is due or late, a reminder goes out, or a note is drafted for the rep.
Quiet accounts, flagged
Accounts ordering less than usual flagged every week, with what they have stopped buying, so the rep calls before a competitor does.
Purchase orders to sales orders
Orders read from any format, products matched (old codes and misspellings included), priced with each customer's terms and entered as drafts. Anything unclear goes to a person.
Three-way invoice matching
Supplier invoices checked against the purchase order and the goods received. Price or quantity differences are held for approval before payment.
Order status and stock answers
Replies to status and availability questions drafted from live data in your system, for your team to check and send.
Built for the order desk.
We are already building it
Our engineering team is building hands-free trade orders for a skincare brand's salon and stockist accounts: many order formats, one system, the same problem.
Read the case study →The AI reads, rules decide
The AI only reads the order. Product matching, pricing and credit checks follow your rules, and every step is logged.
Measured before go-live
We test on your own past orders and show you the accuracy before anything reaches your system.
Inside the tools you use
It works with your ERP or accounting system and your inboxes. No new platform for your team to learn.
Why not just use ChatGPT?
You can, for one order at a time. Here is what changes when it has to handle every order, every day.

What each step includes →Fair questions.
Which ERP or accounting systems do you work with?
If your system has an API or accepts imports, we can usually connect to it directly, and most do. We confirm yours on the free call, before you spend anything.
What if the AI matches the wrong product?
Every match is checked against your catalogue and the customer's order history. Anything uncertain goes to a person with the likely options shown, and orders go in as drafts for approval until the accuracy has earned your trust.
Is our data used to train AI models?
No. We use business AI accounts whose terms exclude training on your data, and everything we build runs in your own accounts.
Do our customers have to change how they order?
No. Customers keep ordering exactly the way they do now. That is the point.
How much does it cost?
The Audit is $750, credited to the Build if you go ahead. The Build is a fixed quote based on what the Audit finds. Keeping it running starts at $350 a month, with no minimum term. All prices are in Canadian dollars, plus HST.
Is this worth it for a smaller distributor?
Usually, if your team keys in more than about 15 orders a day or spends hours each week checking invoices. Below that, the gains may not cover the cost, and we will tell you so on the free call.
Tell us which accounts have gone quiet.
In 30 minutes we will tell you what we would fix first, roughly what it would cost, and whether it is worth doing at all.
