Every event, followed up.
A brand, website and event system for a growing network, and now AI that handles the work around every event.

- Brand, website and event system · AI upgrade
A network that began around a boardroom table and grew into a community of family offices, foundations, funds and intermediaries meeting in several cities. It needed a strong identity, a website that attracted members, and a way for staff to run events everywhere.
- A brand identity that reflects the network's values
- A website with a simple two-step registration for new members
- An event management system for staff to run current and upcoming events across cities
Built by our engineering team. The client is described, not named.
Follow-up that actually happens
Every event means invitations, introductions, notes and follow-ups, written by hand for each city by a small staff. The value of an event is in the follow-up, and that is what gets dropped when the next event is already being planned. First-time guests are the network's best source of new members, and they are the ones whose follow-up is most often missed.
Where the time goes today
- Writing and sending personalised invitations for each event
- 4–6 hrs a week
- Writing up notes and actions after each session
- 3–4 hrs a week
- Following up every attendee and making the introductions promised in the room
- 6–8 hrs a week
With the upgrade
- Within 2 days
- every attendee followed up, with the introductions promised in the room actually made
- ~10 hrs
- a week back for the events team
- Every guest
- invited to join while the event is fresh: the network's cheapest source of new members
Estimates. Based on a network running six to eight events a month across its cities, with 40–60 people at each. Every project starts with an Audit that measures the real numbers first.
How it works
- 01Invitations are drafted for each member from their interests and past attendance.
- 02Suggested introductions between attendees reach staff before the event.
- 03Session recordings become short summaries with the key points and actions.
- 04Follow-up messages are drafted for every attendee, including an invitation to join for first-time guests, and queued for staff approval.
What stays with people
Nothing goes to a member without a person approving it, and only information members agreed to share is used.
What we measure
- Staff hours per event, before and after
- Share of attendees followed up within two days, and how many first-time guests go on to join
- Corrections staff make to drafted summaries and messages before approving them
The AI is the easy part. This is the rest.
- 01A recording-to-summary pipeline
- 02Member data spread across several systems
- 03Consent and privacy rules for what can be used and sent
- 04Staff approval built into every outbound message
